Send Paperwork to MR Provider

This section lists the information relevant to the Medical Record requests. The provider is automatically synced right beneath.

Send Paperwork to MR Provider

Note: Paperwork Sent to MR Provider tickbox: ignore this tickbox. It will be automatically ticked once the PIC sends out the paperwork to the MR Provider using the buttons below.

  1. Click Paperwork Status in the navigation menu.

  2. Select the MR provider by clicking on the drop-down menu to select a suitable MR provider.

Note: You can add/edit the provider by hovering on Add/Edit and select the corresponding option. Clicking either will open a new tab for you to fill in a new clinical provider, or edit an existing one. Click save once you’ve completed.

  1. Attach LoA and other documents fields: once you’ve received the LoA from the CM as well as relevant documents, drag them into these fields.

Tip: In order to request paperwork from the MR provider, an LoA (Letter of Authority) must be provided from the CM. If the CM doesn’t have the template and is requesting one, this Send LoA template section allows you to provide the CM with an LoA template. Tick the button Booking CM below, click Resend, and they will receive the template and finalize it before sending an official LoA to you.


Note: By dragging the LoA into either of the fields, a pop-up box will ask if you want to send the documents straight away. Click No, as it’s just a reminder for you to actually send the files later on. If you click Yes, you might be at risk of sending off insufficient information to the MR provider.

  1. Once the files have been uploaded, tick MR Provider below Send Paperwork. If the box is untickable, high chances are either that the MR Provider’s email is missing, or that no MR Provider is selected.

Tip: The default method to send paperwork to the MR is via email. You can also print the MR request with Print MR Request and send the hard copy out via other methods (courier, express post, in house, standard post). Tick the boxes accordingly to your choice before saving.

  1. Adjust the Expected MR Retrieval Date accordingly to your deal with the MR provider.

Note: MLP Expected Completion Date (medical legal provider’s expected completion date) is the date to promise the CM by which they will receive the paperwork. Unless you are sure of a date by which your team and the MR provider are able to work out the documents to send to the CM, leave this field blank.

  1. Once everything is done, tick the boxes above and click save to send the paperwork to the MR automatically. The paperwork won’t be sent unless the Send Paperwork box is ticked.

Note: The following boxes are automatically ticked and need not your actioning.

Paperwork Received Date: the date on which the CM (case manager) provided the documents (automatically synced).

Paperwork Sent Date: the date on which the PIC sent out the paperwork via MLP (automatically synced)
