OVERVIEW

This article covers the contents stored in the Accounting & Booking Information section of a Company USER ACCOUNT.


Accounting & Booking Information can be broken up into 3 sub-sections, containing the following information:

  1. Company emails to redirect standard communications between a provider and the Company within Kawaconn services.
  2. Company-wide subscription preferences
  3. Staff assigned to manage business relationships and support



CONTENTS



ACCOUNT & BOOKING INFORMATION

As standard, when a service is created, the Case Manager added to a service is the main recipient of automated email communications sent from Kawaconn.


This sub-section contains a list of emails that changes the desired recipient email (from a Case Manager's email to a company-wide email).

Contact Name

  • Main contact for the Company’s Accounting division

Accounting/Finance Email

  • Central mail to receive all invoices for the Company (instead of individual Case Managers)
  • Invoicing Emails are:
    • TEMPLATE_52B
    • TEMPLATE_52B_RESEND

Phone

  • Main phone number for the Company’s Accounting division

Company-Wide Report Receiving Email

  • Central mail to receive all reports for the Company (instead of individual Case Managers)
  • Report Receiving Emails are:
    • TEMPLATE_59 for Final Reports
    • TEMPLATE_100 for Amended Reports

Company-Wide Booking Email

  • Central mail to receive all booking confirmations and cancellations for the Company (instead of individual Case Managers)
  • Booking Emails are:
    • TEMPLATE_04 for in-person appointment confirmations
    • TEMPLATE_39 for telehealth appointment confirmations
    • TEMPLATE_01 for cancellations

Payment Terms

  • Description that is added to all invoices sent to this Company

Payment Due Days

  • Length of time (in days) to determine the Due Date of invoices
  • You only need to change the value here if it differs from the default Due Date length (set in APP SETTINGS -> System Configuration -> Company Setting)
  • Keep the value to 0 to use the default Due Date length



SUBSCRIPTIONS

This sub-section contains a list of company-wide subscription settings.


Field NameNotes

Receive Overdue Invoice Reminders

  • If ticked, automated emails are sent to this company whenever an Invoice is deemed to be overdue
  • Overdue is determined by the length of the Due Date

Receive Promotions

  • If unticked, this notifies the provider that none of the Company’s Case Managers are to be sent promotional/emails
  • If individual Case Managers request to not receive promotions, you can unsubscribe them within their Case Manager's account(s)
