Select In-person or Telehealth (Video/Phone) Appointment

Under This appointment accepts, three options are pre-selected as they were first created in Clinic Calendar (refer to How to create a session in Clinic Calendar): In-person, Telehealth, or In-person/Telehealth. 

The option In-person/Telehealth (yellow sessions on the calendar) is set to In-person appointment as default, with field Require Telehealth set to No

To convert an appointment from in-person to telehealth, please follow the steps below:

Note 1: Only sessions created as In-person/Telehealth allow you to convert from in-person to telehealth 

Under Require Telehealth, select Yes. Two options will show up as follows:

  1. You can select a preferred video platform for the video consultation under Video Apps - it can be Kawaconn’s own platform, or other platforms as decided at the time of booking.

  2. Under Client Video Arrangement, you can see the video link generated for the client, and their contact details.

Tip: Next to Contact Number and Contact Email, you will see a drop down menu highlighted in blue saying Use Client/CM’s mobile/email, this is where you can change the recipient of the video link, just in case the Case manager would like to receive the video link instead of the Client. 


  1. Under Phone Consultation Requested, you can select Client Mobile or Client Phone, which corresponds to the information you put in Client Details

  2. If you wish to put in another number, select Client Other Number, and enter a number manually.

Note 2: After the appointment has been created, you won’t be able to change the Video Apps within the Appointment Details

In order to change the video platform, please view the instructions below:

  1. Click on Appointment Details in the Navigation menu on the right. 

  2. Select Scheduling Appointment.

  3. Click on Change/Reschedule Direct.

  4. The Schedule New Appointment page will pop up. 

  5. At the bottom of the page, under Video Apps, select the desired video platform (e.g. Kawaconn Video, Zoom, Teams …)

  6. Click Save.
