Adding Appointments into an IME Case Directly
One of the three options to have an appointment in a case is to add it directly in Appointment Details. Adding an appointment directly is generally done for the following reasons:
A specialist is requested but there are no available sessions on the calendar for them
A Case Manager requests to have multiple appointment options to choose to book
How to Add an Appointment into a Case (Multi-Options)
IME cases can hold multiple appointment options in Appointment Details, which allows Case Managers to choose the best appointment to book from multiple options provided. Options are obtained from the Calendar and stored temporarily until it is finalized and confirmed at a later date.
In Appointment Details, click Add Appointment. This opens up the CLINIC CALENDAR.
Note: Only cases that were added via Appointment Direct or via Appointment Search - Request an appointment have the option to Add Appointment.
(Optional) Select a specialist to only view their sessions on the calendar.
When found, select an available session.
Click Book this session. The selected session is added to Appointment Details as a Multi-Option.
Repeat steps 1-4 to add more Multi-Options into the same case.
Click Create and your case will be created as a Multi-Option Appointment Request.
Note:
1- Appointments added directly from the case (with Add Appointment) are always added as a Multi-Option.2- Whilst a case contains Multi-Option Appointments, each option’s Session Availability Type is ignored temporarily until an option is selected to book.
3- Appointment Sessions added to a Multi-Appointment Request can no longer be booked for other cases. It is recommended to identify the Case Manager’s selected option as early as possible to allow the unselected appointments to be returned to the CLINIC CALENDAR for another booking.
Selecting the Chosen Multi-Option in Appointment Details
Identify the Multi-Option the Case Manager wants to book and select Confirm. Other Multi-Options that don’t get selected return to the CLINIC CALENDAR.
Note: Once a Multi-Option has been determined, the case’s Appointment Details > Appointment Confirmed checkbox does the following (depending on the Session Availability Type):
(1) If Confirmed Available: Appointment Confirmed is automatically ticked upon selection
(2) If Unconfirmed Available: Appointment Confirmed is not ticked (and assumes you’ll still need to contact the specialist prior to the booking to check that the session is still available). Manually tick Appointment Confirmed if confirmation from the specialist has already been established.
